A useful winter log tells the story of the property: what conditions were observed, what action was taken, where it happened and when the site was checked again.

Record the event, not only the invoice

Note arrival and departure times, precipitation, air temperature, available pavement readings and observed surface condition. Identify whether the visit was preventive anti-icing, post-event de-icing, snow clearing, inspection or a combination.

Name the areas treated

“Parking lot treated” is often too vague. Use a site map or consistent zone names for entrances, accessible routes, loading docks, parkade ramps, sidewalks, drive lanes and known cold spots. Note areas that were inaccessible, blocked or outside the agreed scope.

Document material and equipment

Record product type, approximate quantity or calibrated application setting, equipment used and any relevant concentration information. Follow the product label and equipment instructions. The goal is a repeatable operational record, not a claim of laboratory precision.

Photographs need context

Photos can support the written log when they include a recognizable location and useful timestamp. Capture representative conditions before and after service where practical, but do not let photography delay urgent hazard control.

Track exceptions and follow-up

• Blocked stalls, gates or delivery traffic
• Active leaks, downspouts or drainage failures
• Material shortages or equipment problems
• Changing forecasts or unexpected refreeze
• Requested return visits and property-manager notifications

Logs should be retained according to the company’s contract, insurance and legal requirements. Protect personal information and avoid speculation; write observable facts and actions.

Use the record to improve the site plan

At season end, review repeated callbacks, material use and recurring cold spots. The record can reveal where drainage, lighting, signage, storage or route sequencing should change before the next winter.
